01 / START WITH THE USE

Start with the purpose of your project

Documents in the same industry can have different audiences, purposes and deadlines. Define the task before agreeing source material, staffing and review.

Preparing market content

Establish the language baseline for a new market

For teams preparing an overseas website, product catalogue or exhibition materials. We first establish the audience, product categories and information customers need before making an enquiry. Representative content then sets the language direction. Product facts and brand voice are documented separately to reduce repeated changes after the full translation.

Useful input
Provide target regions, customer types, the product structure, source samples and existing brand materials, identifying the versions already approved.
Work focus
Align brand and product names; distinguish adaptable marketing language from model identifiers, facts and qualifications that must be retained.
Agreed output
Agreed outputs may include samples, terminology and voice guidance, a content register and translation batches organized by channel.
Adapting content for publication

Review translations in their pages and channels

For projects with existing translations approaching a website or campaign release. Page copy, buttons, downloads and text in images are checked separately. Alternative campaign headlines can be discussed, while preserving the approved scope of product capabilities, services and commercial commitments rather than enlarging claims to attract attention.

Useful input
Provide page previews or screenshots, publication files, channel constraints, a link list and comments from the product owner.
Work focus
Connect headings, body copy and calls to action; check display, attachment names and descriptions of the same product across channels.
Agreed output
Possible outputs include a page language issue log, agreed publication copy and a revision record tied to the release version.
Maintaining sales and support content

Carry updates through customer communication

For businesses adding products, channels and support content. When a model, associated service or recurring customer question changes, we trace the relevant website sections, downloads and sales templates. Previous translations can inform the work, but their suitability for the current product and audience still needs to be assessed.

Useful input
Submit a change list, previous and current versions, distribution channels, recurring customer questions and review contacts for each market.
Work focus
Identify additions, deletions and reusable content so superseded product names or service descriptions do not return through older materials.
Agreed output
Agreed handover can include incremental content packages, terminology updates, related page lists and the approval status of each batch.
02 / DOCUMENTS & CONTENT

Different documents need different checks

Define translation, review, layout and supporting explanations from the actual file list. The following scopes can be combined as agreed; they are not an automatically included package.

01

Websites and product categories

Navigation, category pages, product details and download descriptions are organized around the product hierarchy and each page’s purpose. Natural target-language wording keeps the same product identifiable across listings, detail pages and attachments.

Review focus: Check models, category relationships, specification fields, units and link labels without changing the stated product applications.

02

Brand and campaign copy

Brand stories, campaign headlines, exhibition introductions and social copy are adapted to their audiences and channels. Where transcreation is requested, alternatives explain their intent and differences, supporting client choice while retaining facts and qualifications.

Review focus: Review voice, the basis of claims and comparisons; keep aspirations distinct from results already achieved.

03

Search pages and summaries

Using client-provided market terminology and customer questions, we prepare titles, summaries, section names and FAQs. Search-facing language stays aligned with the actual page topic, avoiding phrasing that sacrifices readability simply to insert keywords.

Review focus: Check topic alignment, regional naming and page mapping; language work carries no indexing or ranking commitment.

04

Distributor and exhibition materials

Distributor introductions, brochures, presentations and training text retain pagination, captions and product-family relationships. Explanations for distribution partners are distinguished from copy addressed directly to end customers, with terminology connected across both sets.

Review focus: Check brand roles, product combinations, text-to-image references and attachment versions to avoid mixing materials for different markets.

05

Enquiries and sales support

Email templates, enquiry forms, presentation scripts and sales FAQs connect customer questions with responses and follow-up actions. Quotation currencies, scope and validity periods remain as stated in the source; commercial terms are not invented during translation.

Review focus: Review forms of address, product references, attachments and conditions, distinguishing information from commitments.

06

Help centres and after-sales content

Help articles, service descriptions and support templates are grouped by question topic, using approved product and interface terms. Complex questions retain their context so a shortened or rewritten heading does not lose conditions explained in the body.

Review focus: Check question-to-answer alignment, names used in navigation and service boundaries; business rules remain for client confirmation.

03 / CONTEXT & AUDIENCE

Adapt the approach to the document’s use

Consider the subject, audience and relationship between files together, so that terms remain traceable across different documents.

Selling to business buyers

Business buyers need to identify the product family, supporting documents and appropriate contact. Translation emphasizes clear information hierarchy and findability, retaining model-specific data, quotation scope and attachment relationships so customers can ask precise questions.

Communicating a consumer brand

Consumers often focus on how a product fits a situation. Rhythm and voice can be adapted, while approved functions, intended users and service conditions remain intact. Short promotional lines and fuller descriptions should support the same understanding.

Digital service interfaces

Pages, buttons, messages and help text form a user journey. Screenshots clarify the object and result of an action, while field identifiers and variables are retained. Importing content, implementing functions and configuring business behaviour belong to the relevant teams.

Working with overseas channels

Distributors, sales teams and customers may use different shorthand. A reference connecting brands, families and product names supports training, exhibitions and correspondence, while keeping the approved versions for different regions identifiable.

Languages, regions and review references

Include the source and target languages, destination and recipient. Supply approved terminology, prior translations, document conventions or required templates. The client’s designated specialist confirms questions of professional applicability.

What the reviewer checks

This is an invented translation demonstration. It retains the document identifier, series-to-model relationship and appendix reference without turning inclusion into a compatibility claim.

ILLUSTRATIVE TRANSLATION

Page WEB-07 uses the product names in content package CP-B; image captions are provided separately in IMG-02.

What the reviewer checks

This is an invented translation demonstration. Page, package and image references remain separately identifiable rather than being merged into a single version.

DEMO 03Invented example: a defined content term

What the reviewer checks

This is an invented translation demonstration. It preserves the document-specific definition and the limitation expressed by “only”, adding no services or delivery commitments.

Actual work follows the complete source, approved terminology and specialist feedback. Queries are documented rather than resolved by inventing missing facts.

05 / QUALITY & REVIEW

From linguistic review to final-file checks

Agree review coverage for the purpose and risk of this set of documents, distinguishing language issues, source queries and matters needing specialist confirmation.

Separate facts from expression

Style review examines voice and readability; fact checks examine functions, audiences and qualifications. Alternative headlines must remain grounded in the source and must not turn optional availability into unconditional inclusion.

Keep product relationships consistent

Trace brands, families, models and accessories, distinguishing variants with similar names and retired terminology. Website, brochure and sales references should make it clear when they describe the same item.

Check language in page context

Within agreed screenshots or previews, review headings, buttons, images and download links. Record truncation, unclear references and misplaced copy. Where only files are available, identify the file-level checks actually completed.

Match regional versions

Check regional terminology, date formats and agreed presentation of units, retaining source references where needed. If product scope varies between regions, manage the content separately using the client’s confirmed distinctions.

Keep queries traceable

File and revisionLocation and sourceQuery and impactReferences and proposalReviewer and responseStatus and final version

The project manager links queries to responses. The client’s specialist confirms factual, business or technical decisions; linguists apply those decisions and check related affected content.

Language services cover understanding and expressing the supplied material, recording queries and performing agreed linguistic review. Client owners confirm product facts, certification wording, commercial terms and market release decisions. Technical implementation and specialist reviews follow the project’s allocation of responsibilities. Deliverables, tool use and ongoing maintenance are agreed at the outset.

06 / PROJECT WORKFLOW

A workflow from receipt to a usable file set

Agree inputs, approvers and outputs at each step. Phased delivery and source changes continue to use the same file identifiers and revision baseline.

  1. 01

    Map the customer journey

List content touchpoints from product discovery and detail review through enquiries and support. Agree markets, languages, pages and materials, including text embedded in images.

  2. 02

    Agree representative samples

Select product, promotional and support samples to agree voice, names and adaptation scope. The styles share facts while serving different reading purposes.

  3. 03

    Translate by channel

Work by page, document and campaign batch. Queries identify products, locations and sources; wording about market commitments goes to the business owner before alignment.

  4. 04

    Review across content sets

Compare names and conditions across pages, attachments and sales templates. Check figures, models and voice, recording language corrections separately from source changes.

  5. 05

    Check publication context

Where previews are available, check display and context. Refer issues to page or design owners and review the revised language within the agreed scope.

  6. 06

    Hand over the update baseline

Record final versions, markets, channels and approved wording. Later changes follow related locations, with additional languages, pages and feedback scoped clearly.

07 / DELIVERABLES & COLLABORATION

A delivery list your team can work from

Agree outputs, review levels, formats and revision arrangements at the outset. Supporting records are scoped rather than assumed to be included in every service.

01

Market content package

List translated files, pages or content identifiers by market and channel, with source references so the business team can identify publication scope and ownership.

02

Brand language reference

An agreed reference can include brand and product terms, voice guidance, regional differences and names retained in their original form for future content.

03

Page review record

Where page review is included, provide locations, screenshots, issues, suggestions and review status tied to the specific publication version.

04

Copy decision record

Record selected transcreation options, reasons for significant adaptations and client approvals so marketing and sales teams understand the wording’s intended channels.

05

Update dependency list

An agreed list connects changes to products, pages, downloads and support articles, leaving a traceable reference for the next incremental translation batch.

Assign responsibilities around the task

Project manager

Coordinates scope, batches, timing and queries, maintaining the delivery register and revision history.

Translator

Assigned after assessment of language direction, field and files, working to approved terminology and references.

Review and file checks

Reviews meaning, completeness, key information and file format within the agreed scope, recording matters for client confirmation.

Client specialist reviewer

Confirms source facts, professional applicability and disputed terms, consolidating feedback and owning business decisions.

08 / EXPERIENCE & CREDENTIALS

Experience supported by records and a clear method

Plan the service around the actual documents and required outputs. Existing records describe participation, not a promise based on a client’s business results.

09 / COST & SCHEDULE

Scope the work before price and timing

Review files before agreeing inclusions and separate charges, distinguishing language work, client review, additional services and any shipping.

Content and adaptation work

Assessment considers language direction, product volume, subject complexity, previous copy quality and adaptation scope. Product translation, alternative campaign copy and review of existing translations are defined separately so the actual work is clear.

Files and page handling

Editable text, image-text extraction, complex brochures and page-context checks involve different work. Sources, output formats, available previews and review locations establish the scope, including coordination with design or development.

Batches and review windows

Scheduling depends on content stability, market feedback and release order. Batches, urgency, source revisions and extra review rounds are assessed for their impact; translation delivery and final page publication are scheduled separately.

10 / PREPARE YOUR BRIEF

A clear brief makes assessment more useful

Start with a non-confidential description or redacted sample, then agree how to transfer complete files. This list helps organize the key details; an initial discussion is also welcome if material is incomplete.

11 / QUESTIONS BEFORE WE START

Questions before work begins

Can work start while the Chinese website is changing?

Stable product and brand content can establish samples before pages are translated in batches. Each batch needs a source date or version. New descriptions, product changes and reviewer feedback are grouped separately so the affected translations can be identified before release.

Can you review existing overseas copy?

We can assess the source, existing copy, intended use and reusable scope before agreeing review, partial retranslation or page checks. Differences between source and translation versions need to be identified first; fluent copy may still contain outdated product information.

Can website and advertising copy use the same translation?

Brand terminology and product facts can be shared, while expression usually depends on placement. Detail pages need explanation; headlines need brevity without losing qualifications. Significant adaptations are explained and applied to the relevant channels after client approval.

Does translation include overseas search optimization?

The scope can include language work on titles, summaries, FAQs and client-provided terminology, checked against page topics. Market keyword research, technical website configuration and continuing operations need separate definition. Translation cannot guarantee indexing or search rankings.

How do you keep regional versions aligned?

First agree shared product facts and brand references, then document regional terminology and business differences. Approved changes identify their applicable regions, preventing a service description for one market from being copied across all languages where it may not apply.

How are later product updates handled?

Using the delivery register and approved baseline, we identify new, changed and reusable text together with affected pages and attachments. Additional languages, structural changes or broader page checks affect the work. Batches, fees and timing are confirmed after reviewing the materials.

Let’s talk about your next project.

Send your languages, files and deadline. We will help define the scope.
