Before submission
Prepare the final source files and identify what needs translation and what should remain unchanged. Share previous translations, terminology, target markets, audience and formatting requirements, as well as internal review and release dates.
During review
Consolidate feedback in one version and distinguish factual errors, terminology preferences and source changes. If several departments are involved, appoint a contact to coordinate the final comments.
A practical handover convention
- Use project, language, version and date in file names and mark approved files explicitly rather than calling several attachments “latest”.
- For each comment, give the file, page or key, current translation and proposed change; support changes to source facts with confirmation.
- If the recipient has a template, supply a blank copy and instructions and identify editable areas and protected fields.
